Importing data

Import inventory

Bring your product catalog into RackStack Pro from a spreadsheet or a connected tool. Every source funnels through the same column matcher, so your existing headers just work.

Ways to import

Open InventoryProducts and click Import. You’ll see four sources:

  • File — upload an .xlsx or .csv. Pick your tool in the Coming from menu for tailored tips.
  • Airtableconnect Airtable, then choose a table.
  • Sortlyconnect Sortly, then import.
  • inFlowconnect inFlow, then import.

Not sure of the format?

In the File tab, choose Excel / CSV and click Download template for a ready-to-fill spreadsheet with the exact columns.

The spreadsheet format

Only a Name column is required. These optional columns are recognized (and common variants of each name, too):

ColumnWhat it maps to
Name (required)Product name
SKUMatched against existing products to update in place
TypePanel / Sheet / Lumber / Hardware / Consumable / Other
Species, Thickness, Width, LengthMaterial + dimensions
UnitSheet / Board foot / Piece / Linear foot · or by container: Box / Bottle / Tube / Cartridge / Roll / Pack / Can / Bag
Quantity / Stock On HandOn-hand count
Min QuantityLow-stock threshold
Cost / Purchase Rate / PriceCost per unit
Supplier / VendorSupplier
TagsComma-separated tags

Re-import = sync

Rows whose SKU matches an existing product update it; rows with a new or empty SKU are added. So you can re-run an import to sync without creating duplicates.

Exporting from specific tools

These all export a spreadsheet you upload in the File tab:

Zoho InventoryExport guide

In Zoho Inventory: Items → ••• → Export Items → CSV

Auto-matched columns: Item Name, SKU, Stock On Hand, Purchase Rate, Vendor

QuickBooksExport guide

In QuickBooks: Products & Services → Export to Excel

Auto-matched columns: Name, SKU, Quantity On Hand, Sales Price

In Square: Dashboard → Items → Actions → Export Library (CSV)

Auto-matched columns: Item Name, SKU, Quantity, Price

Plan limits

Imports respect your plan’s product limit. If an import would exceed it, the products that fit are added and the rest are reported as skipped — upgrade to add more.
